Job Description

Leap29 are supporting a leading client in the data centre sector who are seeking an experienced Documentation Coordinator to join a major data centre project in Norway. The successful candidate will be responsible for managing project documentation throughout the construction lifecycle, ensuring all technical records, quality documentation, photographs, and declarations of conformity are accurately maintained and submitted in line with project requirements.

Key Responsibilities

  • Coordinate and manage all project documentation throughout the construction and commissioning phases.
  • Maintain accurate document control systems, ensuring all documentation is current, correctly version-controlled, and easily accessible.
  • Collect, review, and organise quality documentation, including inspection records, test reports, certificates, and technical manuals.
  • Manage photographic records of site progress and completed works.
  • Compile and maintain Declarations of Conformity (DoC) and ensure all compliance documentation is complete before handover.
  • Coordinate document submissions between contractors, subcontractors, consultants, and the client.
  • Ensure all documentation meets project, contractual, and regulatory requirements.
  • Support the preparation of handover documentation, operation and maintenance (O&M) manuals, and final project close-out packages.
  • Track outstanding documentation and liaise with project teams to ensure timely completion.
  • Assist with audits and quality reviews by providing accurate and up-to-date project records.

Requirements

  • Previous experience in a Documentation Coordinator, Document Controller, or Project Administrator role within construction, engineering, infrastructure, or data centre projects.
  • Strong understanding of document control procedures and quality management systems.
  • Experience managing technical documentation, inspection records, and compliance documentation.
  • Proficiency with Microsoft Office and electronic document management systems (EDMS), such as Aconex, Procore, Autodesk Construction Cloud, or SharePoint.
  • Excellent organisational skills with strong attention to detail.
  • Ability to manage multiple deadlines in a fast-paced project environment.
  • Strong communication skills and the ability to work with multidisciplinary project teams.
  • Fluent in English (written and spoken).
  • Previous experience working on data centre, mission-critical, industrial, pharmaceutical, or infrastructure projects.
  • Familiarity with commissioning documentation and project handover processes.
  • Experience managing Declarations of Conformity (DoC), QA/QC documentation, and O&M manuals.
  • Knowledge of ISO quality management standards and construction documentation requirements.
  • Norwegian language skills would be advantageous but are not essential.
